Facilities Coordinator

Salary: £28,000–£32,000 per annum
Location: Office-Based / Hybrid

About the Role

We are recruiting on behalf of a leading specialist cleaning company for a Contract Coordinator to support the day-to-day administration and coordination of a key client contract.

Working closely with the Operations Supervisor, cleaning teams and client, you will be responsible for coordinating scheduled works, managing work orders, maintaining compliance records and ensuring all required documentation is completed accurately and on time.

This is an important support role within the contract team, helping ensure the service is delivered efficiently and in line with agreed KPIs, SLAs and client requirements.

Key Responsibilities

  • Coordinate and book cleaning works across the contract
  • Liaise with the client, site contacts, supervisors and cleaning teams
  • Manage and update work orders from instruction through to completion
  • Raise and manage Purchase Orders (POs) where required
  • Ensure teams have the correct information and documentation to complete works
  • Monitor outstanding and upcoming works and follow up where required
  • Collect and review completion reports, photographs and supporting documentation
  • Maintain accurate contract records and administrative systems
  • Monitor compliance documentation, training and site requirements
  • Support the Operations Supervisor with KPI and SLA reporting
  • Assist with client reporting, audits and general contract administration
  • Ensure completed works have the correct documentation and are ready for invoicing
  • Escalate operational, staffing or client issues to the Operations Supervisor

Candidate Experience

The ideal candidate will have previous experience in a Facilities Management environment, with cleaning sector experience strongly preferred.

You should ideally have experience in:

  • Contract, operations or facilities coordination
  • Coordinating cleaning or FM services
  • Managing work orders and job schedules
  • Working with Purchase Orders (POs)
  • Maintaining compliance and contract documentation
  • Liaising with clients and operational teams
  • Monitoring KPIs and SLAs
  • Using Microsoft Office, Excel and job management systems
  • Experience supporting a single FM or cleaning contract is advantageous, particularly within a commercial, industrial or multi-site environment.
